Job Summary:
We are looking for a dedicated and organized Administrative Staff member to support our office operations and management team. The ideal candidate will be responsible for general administrative tasks, tele-calling customers, and providing personal assistant (PA) support to management. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
General Administrative Work:
  • Perform general office duties such as filing, photocopying, scanning, and handling correspondence.
  • Maintain office supplies inventory and place orders as needed.
  • Identifying vendors as needed and booking their services.
  • Ensure the office environment is clean, organized, and well-maintained.
Customer Tele-Calling:
  • Make outbound calls to customers for various purposes, including follow-ups, surveys, and promotions.
  • Handle incoming customer inquiries and provide assistance as needed.
  • Maintain accurate records of customer interactions and update the database accordingly.
Personal Assistant (PA) Support:
  • Provide administrative support to the management team, including scheduling appointments, managing calendars, and organizing meetings.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Assist with travel arrangements, including booking flights, hotels, and transportation.
  • Handle confidential and sensitive information with discretion.
Coordination and Communication:
  • Coordinate with internal departments to ensure smooth operations and effective communication.
  • Assist with organizing company events, meetings, and conferences.
  • Prepare and distribute internal communications and announcements.
Documentation and Reporting:
  • Prepare and format documents, reports, and presentations as required.
  • Maintain accurate and up-to-date records and files.
  • Generate regular reports on administrative activities and tele-calling performance.
Qualifications:
  • High school diploma or equivalent; additional qualifications in Office Administration or related fields are a plus.
  • Proven experience as an Administrative Assistant, Office Assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Gmail).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to handle confidential information with integrity.

  • Ability to work independently and as part of a team.
  • Proactive and able to prioritize tasks effectively.
  • Familiarity with office equipment and basic troubleshooting.
